Archiving Groupwise E-mails

Archiving messages means to transfer files (in this case, e-mail messages in GroupWise) to long-term storage, so you can reference them later. This transfer of messages clears them from your mailbox without deleting them, which can save you a lot of time searching for messages.


The basic process of archiving:

  1. Select the item or items you want to archive (for a block of items, you can select the first item in a list, move to the last item in the list you want to archive, hold down the shift key, then click your left mouse button).
  2. Click on the word "Actions" on the tool bar. In the drop down menu select "Archive".
  3. The item should have disappeared.

To view archived messages:

  1. Click "File" on your tool bar.
  2. In the drop down menu click on "Open Archive."
  3. You should now be in the Archive View of stored information.
  4. Once you have finished viewing your archived messages, then click "Open Archive" again, to return to your current list of e-mails.

To bring an archived message back to the active mailbox:

  1. You are in Open Archive.
  2. Select the message that you want to move back.
  3. Select "Actions". Notice, that in the drop down menu, Archive has a check beside it. Select Archive and the archived item will vanish from Archive View and should be back in your Mailbox.

Automatically archiving messages: (Available to faculty and staff only)

Setting an automatic period of time that GroupWise will do archiving.

  1. Click Tools  Options.
  2. Double-click Environment  click the Cleanup tab.
  3. Select Auto-Archive After for the item type you want.
  4. Specify the number of days after the item is delivered or completed that you want it to be archived.
  5. Click OK.
